However, it was not until Beverly began working at the li- brary over a month ago that she be- gan to realize what was involved in making the library work. "I had no idea, she said. "People think you just stand at the front desk and check books in and out and talk to people all day, but there is a lot more to.it than that." Beverly is our new Library Technical Assistant. She spends some time at the circulation desk, but most of her time is spent up- stairs working on bookkeeping and processing. A graduate of Longwood College in Farmville, Virginia, Beverly has her BS degree in mathematics and a teaching certifi- cate in math and accounting. In ad- dition to teaching, she has had ex- perience in accounting and computer programming. Her back- ground and knowledge are useful as we transfer out accounting from ledger to Lotus 1-2-2, and as we work toward automated circulation through Sirsi and Cleve-Net. The automation project is pro- gressing well, and by spring, we hope to have the entire collection entered in the data base, so that we can circulate all books and audio visual materials through the com- puter. At the present time, we are entering all new books in the data base before they are placed on the shelves, but except for certain small collections, such as the Lauback materials, we do not yet have enough of the total holdings in the computer to begin automated circulation. The AV collections, however, are completely on line and are cir- culated only through Sirsi and Cleve-Net. This includes video tapes, audio tapes, records, kits, and compact discs. In order to cir- culate audio visual materials, we enter the patron's identification number, and scan the OCR number on each item with the light wand. The computer then charges the - item to the patron, calculates the date it is due back in the library, and tabulates overdue fines if any. When the item is returned and dis- charged by scanning the OCR number with the light wand, it is automatically removed from the patron's account. In this way, much routing and time consuming record keeping is handled by the comput- er, and the margin for error is not as great as it is in manual systems. Entering new items in the data base as a routine part of the pro- cessing procedure is no problem. It is the retroactive conversion which will take up the most time. After careful weeding, each book in the existing collection must be repro- cessed and assigned an OCR num- ber as it is entered in the data bale. The reference collection and the Lauback materials have already been entered, and we are currently working on the adult fiction and ju- nior.
